Confidentiality and Security are Paramount

Confidentiality of all client records (irrespective of type or application) is taken very seriously by Imagetek.

The following criteria apply automatically, but additional security or privacy aspects can be implemented in individual cases if required.

On joining the Company, all members of staff are required to sign a Declaration of Confidentiality. Any breach of this (either suspected or proven) is a dismissible offence.

All material for storage or scanning is collected by our own transport and staff. Known subcontractors may be used only in exceptional circumstances, and only with prior consent of the client.

All client material is transferred into our secure document storage area immediately on arrival at Honiton.

On completion of scanning, all client paperwork is stored in file order for a minimum of 3 months before being processed for subsequent destruction.

Destruction of client files by our staff will only be undertaken on receipt of specific approval to do so.

Written proof of destruction can be supplied by us, stating when and where documents were destroyed, if required.

If preferred, client files can always be returned after scanning to comply with any internal confidential waste policy. [This service may be chargeable extra].

Confidential destruction by on-site shredding is also available at extra cost.

Emergency access to individual files/documents in storage or during scanning can be provided either by our scan and return e-mail service, or by returning the entire relevant box by courier or via our own transport, as preferred.
